Bans don’t work. A safe tool people want to use does.

Your own AI hardware gives your team what a chatbot does, but no data leaves the company and it works offline. As long as someone sets it up properly and keeps it updated. That is what we do.

How it works

You buy the hardware. We take care of the rest.

Without setup and updates, AI hardware is just an expensive box. We take you through every step, from choosing the devices to your team’s day-to-day work, even with several branches and a dozen or more devices.

  1. Choosing hardware and tools

    01 · usually 1 working day · free

Your part:Spend 30 minutes telling us what you work on, how many people will use it and where.

Our part:An independent recommendation: devices, models (including Polish ones) and tools, with prices and where to buy. We don’t sell hardware, so we gain nothing if you buy a pricier one. If the cloud suits you better, we’ll tell you.

  2. Buying the hardware

    02 · you decide

Your part:Buy wherever you like, outright or on lease.

Our part:We check availability and suggest alternatives if something is out of stock.

  3. Setting up all devices at once

03 · a few working days after delivery

Your part:Connect the hardware to your network and open a VPN for us while we work, or let us into your office.

Our part:One tested configuration on every device in every branch: models, document chat, transcription, OCR, accounts, permissions, backups.

  4. Training and sign-off

04 · 4 hours for the team plus a separate admin session

Your part:Half a day of your team’s time.

Our part:Training on your own hardware and documents, separately for users and the administrator. You pay the remaining 70% of the setup fee once the acceptance certificate is signed.

  5. Updates and maintenance

    05 · every month

Your part:Once a month, you (or a nominated person) open the VPN for the agreed update window. Call us when you need something.

Our part:Security patches every month, deployed in an agreed window, usually outside working hours, after you open the VPN. We check newer models every quarter. A short monthly report on what we did.

  6. Compliance

    06 · included

    Your part:Sign the AI policy.

Our part:AI policy, data flow map, data processing agreement, a training register as evidence of AI literacy (AI Act Art. 4).

Your time: a few hours in the first month. After that, a few minutes a month to open the VPN for updates.

What local AI won’t do

It won’t replace human decisions, and it doesn’t know documents you haven’t given it. A model running on your hardware is smaller than the best cloud models, so it is weaker at free-form writing and code. With documents, every answer rests on a quoted passage you can always check. That is why, before you buy hardware, we can show the system on your documents during the call or run a paid test on a demo device.

Security

Where does the question go when an employee presses Enter?

In the cloud: to the vendor’s servers, often in the US. On your hardware: nowhere. The model, documents and chat history stay in the company, and the system works offline.

How we work

We take on most of the risk. In writing.

70% after sign-off

You pay a 30% deposit on signing, and the remaining 70% only once the acceptance certificate is signed, after the system works on every device and has passed the acceptance tests on your documents. If anything fails a test, we fix it at no extra cost until it passes. This is written into the contract.

Independent advice

We don’t sell hardware or take commissions. We recommend the device that is good enough, not the most expensive one. If the cloud suits you better, we’ll tell you.

The hardware and documentation are yours

You get admin access from the start and full documentation of the configuration, licences and backups at sign-off. After the first 12 months, you can hand maintenance over to another provider on one month’s notice; you always keep the documentation and admin access.

Access only via your VPN

The model is never exposed to the internet. We connect remotely only via a VPN that you (or a nominated person) open for the duration of the work. Every connection is logged and covered by a data processing agreement.

Questions

What companies ask

Your question isn’t here? Ask it on the call.

Book a call
How many people can one device serve?

For working with documents, a team of up to about 10 people, of whom a few work at the same time. It’s a good device for a small office or branch. For a larger team we add more devices with the same configuration or recommend more powerful hardware.

We have these devices in several branches. Is that a problem?

No, it’s a typical case. We prepare one configuration and roll it out to all devices at once, and updates reach every device at the same time. For each extra device you pay for the work on that device, because we don’t rebuild a tested configuration from scratch.

Do I have to buy hardware from you?

No. We don’t sell hardware. You get a recommendation with current prices and where to buy, you buy it yourself, outright or on lease, and we set it up. We can also check whether hardware you already have will do.

What does it cost in total, say for 20 people?

An example for 20 people in one office: an NVIDIA GB10 computer for about PLN 22,000–29,000 net, which you buy yourself and which stays yours. Then our services: setup from PLN 12,000, training from PLN 3,000 (often subsidised by KFS) and maintenance from PLN 900 a month. In the first year the services start from PLN 25,800 net in total; after that you only pay for maintenance. You get an exact quote after the free hardware advice.

How long does deployment take?

You get the hardware recommendation usually within 1 working day. Purchase time depends on the shop and availability. Setup takes a few working days after delivery, even with several devices, because we set them all up together. Training takes 4 hours for the team plus a separate admin session.

When do we pay?

Hardware advice and the demo are free. Setup: a 30% deposit on signing and 70% once the acceptance certificate is signed, after the system works on every device and has passed the acceptance tests on your documents. If anything fails a test, we fix it at no extra cost. Maintenance is billed monthly: the first 12 months are ordered with setup, then you can cancel on one month’s notice.

You’re a new company. Why should we trust you?

Because you don’t have to take our word for it. Before signing you get the architecture and an acceptance certificate template with measurable criteria, and you pay 70% of the setup fee only once it is signed (30% is a deposit on signing). You have admin access from the start and full documentation at sign-off. After the first 12 months you can hand maintenance over to another provider on one month’s notice; you always keep the documentation and admin access. We offer our first deployments on better terms in exchange for a reference, if you’re happy.

How many devices can you set up at once?

As many as you need. We prepare one tested configuration and roll it out to all devices simultaneously, remotely or on site. Every branch gets the same models and tools, and updates reach all of them at once.

Why isn’t an extra device free if the configuration is the same?

Because a configuration isn’t just a file you copy. Each device has to be installed and connected to the branch network, linked to its documents and permissions, have backups set up and verified, and pass the acceptance tests. After that it needs updates, monitoring and backups every month. A tested configuration saves time, so an extra device costs less than the first, but not nothing.

Isn’t the cloud cheaper?

For a small team, cloud subscriptions can be cheaper, and we’ll tell you so. In that case we’ll help you choose a tool, set it up and train the team. Companies choose their own hardware when data mustn’t leave the company, when the system has to work offline, or when the team is large, because you don’t pay per seat.

Does the model understand Polish and our documents?

Yes. For questions about documents, summaries and data extraction it is good enough, because every answer rests on a quoted passage. For long free-form texts and code, the best cloud models are still stronger today. That is why we can show the system on your documents during the call, free, or run a paid test on a demo device before you buy hardware.

What if something stops working?

The device sends us only its technical status: whether it’s running, how much disk space is left, whether the backup succeeded. It never sends the content of questions or documents. That’s why we often know about a problem before your team notices. To fix it we need access, so we ask the person you nominate to open a VPN connection while we work. The connection is logged, and we fix most issues remotely as part of maintenance. If you don’t want remote access, we come on site. If the hardware itself fails, the manufacturer or shop handles the warranty claim. We help you file it, and after repair or replacement we restore the whole configuration from backup, so documents and settings are not lost.

What do we get from updates?

Better models that run on the same hardware appear every few months, and new security patches every month. We check newer models every quarter, so hardware under maintenance keeps improving; without maintenance, it stays on the model it was installed with. Updates are deployed in an agreed window, usually outside working hours, after you open the VPN. Each month you get a report on what we did.

Who can access the data during remote work?

No one without your consent. We connect only via a VPN that you (or a nominated person) open for the duration of the work, every connection is logged, and the rules are set out in a data processing agreement (GDPR Art. 28). You can also opt out of remote access and arrange on-site visits instead.

Can the training be subsidised?

Often, yes. KFS, Poland’s National Training Fund, covers up to 70% of training costs, or up to 90% for companies with up to 9 employees, and digital and AI skills are among its 2026 priorities. Each labour office sets its own application windows and requirements for the training provider (e.g. a BUR listing). We’ll check them for you and prepare the training programme for the application.
